Questions and Answers

What colleagues usually ask, answered once.

Does it read our documents?

No. It reads a document’s name, type, folder, version, date and author – what a folder listing shows. It never opens a file, copies one, moves one or deletes one. An answer is a reference to a file, not a copy of it.

Does it judge the quality of the work?

No. It asks one kind of question: is the proof on file? Whether the advice was good is for the partner and the quality review, as now.

Who answers the checklist?

The engagement team: the manager and the team members can answer and link files. Only the manager certifies, and only the partner confirms.

How long does it take?

The aim is minutes per file. The tool suggests the likely file for each question, and a click answers Yes with it. Several questions can be answered with one file at once. Watch the film →

What if a file is missing?

Answer Not Yet and say what is missing. The item stays open, reminders say so, and the manager cannot certify until it is resolved.

What if an item does not apply?

Answer Not Applicable with a reason. Where the checklist allows it, that counts as answered.

Who decides what is on the checklist?

The quality team. The checklist is data, not code: a reviewer can draft a change, and the quality lead approves and publishes it. No developer is needed.

What happens to engagements already certified when the checklist changes?

Nothing. A certification is pinned to the version of the checklist it was made against, and keeps it.

When is a file due?

A set number of days after the engagement’s target end date – forty in this demonstration. The team sets the target end date and can move it; every move is recorded with a reason.

Who gets reminded, and when?

The manager, on the days-left marks the checklist sets; the partner near the end. Partners get one digest a week instead of a message per engagement. Overdue files go to both, copied to the quality lead.

Can an answer be changed after it is given?

Yes, until the manager certifies. The earlier answer is kept in the engagement’s history, so nothing given as proof quietly disappears.

Who can see what?

A manager or team member sees their own engagements on their dashboard. Partners and the quality team see the whole firm.

What does the quality team get?

A dashboard of where the firm stands and whether it is getting better, a review sample drawn by lot, a close-out certificate per file, and a monthly report.

What would it take to run for real?
